Encounter Sequence

Overview

Encounter Sequence can be used (v3.4.0233 or later version) to import data into non-fixed encounters (column heading = "EncounterSequence").  The Encounter Sequence is a value unique to an encounter.  The Encounter Sequence for an encounter can be exported through the Data Management page, Bulk Data Tools tab, "Export All Subject Data' link.

Case 1: Have Encounter Date, but no Encounter Sequence

  • If encounter date matches an existing encounter, import will update matching encounter.
  • If no encounter found with matching encounter date, import will create a new encounter.
  • If there are multiple encounters for the encounter date, then must have the encounter sequence.

Case 2: No Encounter Date and have Encounter Sequence.

  • If Encounter Sequence matches an existing encounter, import will update matching encounter.
  • If no encounter found with matching Encounter Sequence, validation error for missing Encounter Date

Case 3: Have Encounter Date and have Encounter Sequence.

  • If Encounter Sequence matches an existing encounter, import will update matching encounter (including Encounter Date).
  • If no encounter found with matching Encounter Sequence, import will create a new encounter.

Case 4: New Project, entering in Nonfixed intervals that may have the same date.  

  • Ensure each encounter has as a unique number within a subject (e.g., Subject X and Subject Y can both use the Encounter Sequence number 1).

If an Encounter Sequence is needed for a new encounter (for example existing non-fixed encounters exist for the same encounter date being imported), use a value like -1 (which would not exist in the database) and StudyTRAX will create a valid Encounter Sequence.

If importing encounter data using Encounter Sequence and no Encounter Date, check the box for "Allow Subjects To Exist".   The variable code (column heading) to use for Encounter Sequence is:  EncounterSequence
